2026 - Summer Update

Note that this is a staged update. The mobile apps will be updated a few days after the main office website. Their actual release date is dependent on the app audit/ review time by Apple and Google.

Restrict Job Types to a Customer

When a job type is assigned to a specific customer, you can now also restrict that customer to only the job types they're assigned. This stops office staff accidentally picking the wrong job type when a customer has two similarly named options available.

​Default Region on Site

If you use regions, you can now set a default region on a site. New jobs created for that site, including jobs created from the mobile app, will automatically pick up the default region.

​Make Region Mandatory on Jobs

There's a new system option to make region a required field when creating jobs, for accounts that use regions. This applies consistently across the website, Android and iOS.

​Region Filters on Sites & Quotations

You can now filter the Sites tab by region, with region also shown as a sortable column. The same filtering has been added to the Quotations tab.

Equipment Details on Visit Reports

Parts information (used and required) now displays correctly when viewing equipment on visit reports, including part list tables that weren't showing before.

Equipment List – New Columns

The main equipment list can now show the customer as well as the site, and the job equipment list can show the equipment's location at site.

Calendar View for Equipment Service Due Dates

A new calendar view shows when equipment is next due a service visit, based on the next service due date, with week, month and year views. You'll be able to see this by customer and by site.

• Reordering a hidden-type question within an equipment section now saves correctly, rather than reverting on refresh.

• Fixed the equipment edit page occasionally showing attribute fields for an equipment type that isn't available on your account.

• Fixed deleted equipment photos reappearing after being removed on the website.

• Fixed a few equipment data sync issues on iOS, including duplicate photos and unnecessary empty questions being sent.

Quotes – Cleaner Layout

We've tidied up the layout on the Quotes view page to make it clearer and quicker to read at a glance.

Quotations – More Detail on Customer & Site Pickers

The customer and site pickers on Quotations now show the first line of the address and postcode for the default site. This is particularly helpful if you have multiple customers with the same name but different account references.

Quotes Fix

• Fixed the default items search bar on quotes not returning results while typing.

Locator – Unscheduled Jobs Improvements

Clicking a site pin on the Locator map now only shows unscheduled jobs for that site. There's also a new unscheduled jobs list alongside the engineer list, with a tab to switch between the two – clicking a job in the list zooms the map to that site.

Locator – Sidebar Refresh

The Locator sidebar has had a visual refresh to make it easier to read at a glance.

Calendar & Locator Fixes

• Fixed the site pin popup on the Locator showing two headers instead of one, and a bug where you had to click a pin twice to reopen its popup after closing it.

• It's now easier to drag a job from the end of one month onto the next.

• Fixed an issue where creating a job from the calendar could unintentionally open an extra browser tab.

• Fixed Job / Job Schedule view modals not resizing properly when the browser window is made smaller.

• Fixed the provisional date toggle on the Job Schedule screen not correctly remembering its on/off state.

Site List – Next Visit Due

You can now switch on visibility for 'Next Visit Due' on the site list and sort by it, with overdue dates shown in red. This field is also available on PDF templates and as a default job value.

JSON Export of PDF Fields

Super admins can now export a list of PDF fields in JSON format, making it easier to reference them when building PDF templates in external tools.

Supporting Document Library – Upload New PDF Versions

You can now upload a new PDF to replace an existing entry in the Supporting Document Library, in the same way PDF templates already work. This is useful for documents like risk assessments that need refreshing annually without deleting and re-adding the whole entry.

Automatic Daily Job Summary Emails

Engineers can now receive an automatic daily email summarising their scheduled jobs for the next day, rather than this having to be sent manually.

Customisable 'Job Scheduled' Email Content

You can now customise which details appear in the table section of the 'Job Scheduled' email, such as date, registration, job type, job number, site contact and address.

Public Portal – Custom Titles & Header Colour

You can now set a custom title and header colour for your Public Portal pages.

Report & Document Fixes

• Fixed broken pagination on the Stock Replenishment report, which previously stopped showing results after the first 10 lines.

• Added date and type filters to the Absences CSV export.

• Fixed an issue that prevented deleting response times in System Settings.

2FA Enforcement for Web Users

You can now require an entire client's web users to set up two-factor authentication by a set date. Users see a countdown banner in the navigation bar until the deadline, then are guided through setup before they can continue. There's also a straightforward way to re-enrol if you need to switch authenticator apps.

Login & Account Security Alerts

New security alerts include an email when a login happens from a new IP address, automatic account lockout after repeated failed login attempts, and notifications when high-risk profile changes are made, such as an email address, role, or 2FA being switched off.

Improved Password Reset Process

The password reset process for office users has been rebuilt around a secure one-time token and 2FA verification, rather than resetting a password directly from an email address alone. This closes a gap where knowing a valid email address was enough to disrupt another user's account.

User Profile & Security Log Improvements

The user profile and admin user view pages have been improved, and we now log key security events, including logins, failed logins, 2FA activity and password or profile changes. Each user's last login time is also now visible on the Office users list.

• Fixed signature and sketch questions losing or distorting their drawing when an Android device is rotated.

• Fixed a missing label on the custom job number field when creating a job on iOS and Android.

• iOS now shows a warning when creating a job for an on-hold account, matching existing Android behaviour.

• Fixed an iOS issue where a mandatory what3words question couldn't be completed if the device's locator was switched off.

• Fixed the add/remove quantity buttons on quantity questions sometimes displaying as blank boxes on Android.

• Fixed an issue where accounts requiring jobs to be created against specific equipment could default to the wrong 'Add Job' search mode.

• Fixed the Edit Job button being missing on the tablet form for unsigned jobs.

• Fixed the 'Creating Job' dialog on Android not progressing when the customer's account was on hold.

In-App Support (Intercom)

We've integrated Intercom into the Office platform, giving you a more direct way to reach our support team from within the system.

Quicker Access to Visit ID

The visit ID is now shown directly on the visit view page, handy when you need to quote it to our support team.

Copy All Questions in a Tab

On the Site and Equipment configuration pages, you can now copy all the questions within a tab and paste them onto another tab or checklist, rather than rebuilding them one by one.

Clearer Equipment Type Switches

Switches on the Equipment Type Details screen now read Yes/No instead of On/Off, for clarity.

Add Multiple PDFs from an Existing Template

You can now add more than one PDF at a time when using the 'Choose an Existing Template' option.

General Fixes

• Fixed 'Edit Selected Questions' occasionally clearing a dropdown's options when batch-updating a group of questions.

• Fixed deleted job equipment still appearing in the Equipment Jobs List.

• Fixed the Master Equipment add/edit page occasionally submitting unexpectedly or breaking checkboxes.

• Fixed invoice and mark-to-invoice options showing on recurring jobs where they shouldn't apply.

• Fixed a server error when editing an equipment attribute with no options set.

• Fixed deleted jobs still appearing on some dashboard cards.

• Fixed certain modals incorrectly redirecting to the calendar.

• Fixed deleting a personnel record with a large number of assigned visits sometimes timing out.

• Fixed a warning shown when viewing a job that had been assigned a custom status which was later deleted.

• Fixed an error when changing an existing question's type to Radio Set or Dropdown.

• Fixed job-completed email notifications occasionally still being sent to a contact that had since been deleted.
