Recording time on jobs that take multiple days

"jobs that span multiple days" "how do i put a job on hold" "how do i pause a job at the end of the day"

When a job takes more than one day, you don't need to add your own date and time questions. Use On Hold instead. At the end of each day your engineer puts the job on hold. When they pick it up again they get a fresh set of travel and start-work screens. Each day's date, travel time, start time and finish time are recorded on their own, and earlier days are never overwritten.

Before you start

You need to be an Admin to change these settings.

Step 1: Turn on On Hold for the job type

  1. Go to Company Settings → Job Types and open the job type.

  2. In Mobile Workflows, find Work In Progress Screens.

  3. Set On Hold to Enabled.

This adds the Hold Job option to the app for jobs of this type.

Step 2: Set up your hold reasons

  1. Go to Company Settings → Prompts.

  2. Under the Job module, open Hold Reason and add the reasons you want, such as Returning tomorrow, Awaiting parts or End of shift.

If you add reasons, the engineer picks one from a dropdown. If you leave the list empty, they type a reason instead.

Tip: use Hold Reason, not Hold Reason (office). The office list is only used when a job is put on hold from the back office.

Step 3 (optional): Ask extra questions each day

Open the job type's On Hold form and add your own questions to the Put Visit On Hold tab. For example:

  • Work completed today

  • Materials used

  • Percentage complete

  • Expected return date

The engineer answers these every time they put the job on hold, so you get one set of answers per day. The date/time and reason questions are built in and can't be removed.

Keep end-of-job notes where they are, on the On Site form's Completion Questions tab.

What your engineers do

  • At the end of each day: on the On Site screen, tap the menu at the top right (⋮ on Android, --- on iPhone and iPad), choose Hold Job, pick a reason, answer any extra questions and send.

  • The next day: the job is still in their list, now labelled Resume Visit. Tapping it starts them at Start Travel for the new day.

  • On the last day: finish the job as normal, through Completion Questions, Time Review and sign-off.

What you'll see in the office

  • Visit report: the report is laid out day by day (Travel To Job, Visit Put On Hold, Travel To Job 2, Visit Put On Hold and so on), with that day's extra answers under each hold.

  • Reports → Personnel Time Report: one row per day, each with its own travel, work and finish times, plus when and why the job was put on hold. Use Personnel Time Export for a CSV. You need the Reports permission to see these.

Important

All of this relies on the engineer using Hold Job. If they just close the app at the end of the day, nothing is recorded for that day. We recommend:

  • making any important per-day questions mandatory

  • showing your engineers the hold-and-resume routine before th
